Travel Agreement with TravelSmiths

Thank you for choosing TravelSmiths for your travel planning! Before we finalize your arrangements, please take a moment to review this agreement. Your signature indicates that you are comfortable with and agree to the terms outlined below.
In this agreement, “TravelSmiths” will be abbreviated as TS.

Agreement & Acceptance:

By submitting payment to TS, you acknowledge that you have reviewed, understand, and agree to these Terms & Conditions. These terms apply to all travelers listed on the booking, and the primary addressee is responsible for informing all parties traveling about these terms.

Passports, Visas & Entry Requirements:

You are responsible for meeting all passport, visa, vaccination, and entry requirements for your destinations and any connecting points, including immigration and transit regulations.
All travelers—including children and infants—must have a valid passport book (not a passport card) for international travel. Adults traveling domestically must have REAL ID-compliant identification.

  • Passports must be valid for at least six months beyond your return date

  • Contain a minimum of three blank pages

  • Minors traveling without one or both parents may require notarized travel consent forms and additional documents as required by some countries.

  • TS requires that you provide copies of your passport book. Failure to do so means you assume full responsibility for any name discrepancies or travel issues.

Travel Documents:

Carefully review your itinerary and all travel documents. If you find any discrepancies, please notify us immediately. It is essential that the names on your tickets and reservations exactly match your government-issued ID to avoid any travel issues.

Payment & Credit Cards:

Using a credit card offers important consumer protections. When TS processes payments, we act as a merchant on behalf of suppliers. If suppliers do not provide service, claims should be pursued directly with them. Chargebacks will be directed to the supplier, not TS.

Airfare & Airline Rules:

Airline tickets are non-refundable, non-transferable, and may include change fees. Pricing and seat assignments are not guaranteed and subject to airline changes.
Travelers are responsible for:
• Online check-in (typically 24 hours prior)
• Airport arrival times (3 hours international / 2 hours domestic)
• Baggage fees

Airlines may cancel remaining segments if flights are missed or rules violated. Using tickets with unused segments (e.g., “hidden-city” or one-way workarounds) can cause cancellations and loss of frequent flyer benefits. TS is not responsible for denied boarding due to rule violations. Your cooperation ensures smooth travel.

Accommodations & Requests:

  • Bedding, room types, and connecting rooms are subject to availability and not guaranteed unless included in your purchased room category.

  • Resort check-in usually starts between 3:00–4:00 PM.

  • Special requests may incur fees and require supplier confirmation.

Travel Insurance:

  • We strongly recommend purchasing travel insurance for peace of mind. Most policies cover cancellations, accidents, and unforeseen events. Personal medical insurance often does not cover international travel—please verify your policy with your insurance carrier.

  • TS can provide quotes from trusted providers and answer general questions, but for detailed coverage, please contact the insurer directly and read all documents carefully. Insurance includes 24-hour emergency assistance and is non-refundable after the free look period.

  • No travel documents will be issued until we receive either proof of insurance purchase or a signed insurance waiver if you decline insurance.

  • If you decline insurance, you accept full responsibility for all cancellation fees—including TS penalties—and other losses.

  • A few travel insurance plans cover cancellation fees for qualifying reasons, including the 15% TS penalty. We highly recommend purchasing coverage through TravelSmiths’ preferred insurance providers.

  • If TS assists with an insurance claim, a $200.00 processing fee per policy may apply.

If you purchase travel insurance independently from TS, please note we will not be able to assist you with claims or support related to that policy.

Our Role with Suppliers:

TS acts as your trusted advisor connecting you to airlines, hotels, car rentals, cruise lines, and other providers (“Suppliers”). While we carefully select trusted travel partners, TS does not control their day-to-day operations or policies. Should changes or problems arise, we will do our best to assist but cannot be held responsible for any actions or failures by suppliers beyond our control.

Price Changes & Possible Increases:

Prices may change after booking due to supplier adjustments, fees, gratuities or currency fluctuations; by confirming, you accept potential changes and authorize charges to your payment method

Travel Risks, Advisories & Safety:

Travel inherently carries risks, including but not limited to illness, pandemics, weather events, political instability, civil unrest, terrorism, and acts of God. It is the traveler’s responsibility to stay informed by reviewing current travel advisories at travel.state.gov and health guidance at cdc.gov before and throughout your trip.
While TS strives to provide safe and unforgettable experiences, we cannot guarantee the safety of any destination. TS reserves the right to modify or cancel services without liability in response to unforeseen events beyond our reasonable control as detailed above. In such cases, TS is not responsible for any resulting changes or cancellations.

By booking with us, you acknowledge and voluntarily accept all risks associated with travel and agree to release TS from any related claims or losses.

TravelSmiths Revision & Cancellation Policy:

Revisions:

  • Changes requested after your initial deposit incur a revision fee starting at $200.00+, depending on complexity of the changes. Examples include alterations to your destination, travel dates, or other significant itinerary elements.

  • While you are traveling, if you request itinerary changes, a revision fee will apply since we must prioritize and dedicate immediate attention to accommodate your needs.

Cancellations:

  • All cancellations must be submitted in writing to TS.

  • Deposits are non-transferable and non-refundable once paid.

  • After final payment TS will charge a 15% cancellation penalty of total trip cost for our services  over and above suppliers penalties

  • Cancellation fees will be charged to the credit card on file.

Claims & Jurisdiction:

Report any concerns to TS in writing within 30 days of trip completion. Any legal claims must be filed in the courts of Ocean County, New Jersey, within one year of the incident. By proceeding, you agree to this jurisdiction.

I have read and agreed to the above Terms and Conditions of theTravelSmiths Vacation Planning Service Agreement.
